We are seeking a motivated, detail-oriented self-starter to fill the full-time position of Operations Coordinator which is available immediately. The role functions as an assistant to the Deputy Director and reports to and works alongside him in managing the internal operations of the organization. This position is expected to frequently visit and work in our downtown Chicago office.

Our ideal candidate:

·        Bachelor’s degree required (preferably in Accounting or Finance)

·        Proficiency in QuickBooks is preferred

·        Experience with grant research & writing and social media a plus

·        A data-loving, Excel pro, who loves owning & managing a database

·        An outgoing, positive person who will engage easily with donors and vendors

·        An organized, list-making, deadline-driven achiever who can juggle multiple projects and handle lots of administrative details

·        Willingness to learn, ask questions, and provide follow up as requested or needed

·        Willingness to work some nights and weekends for special events or meetings

·        Nonprofit experience a plus

Responsibilities:

1)     Administrative/Office Operations

·        Oversee day-to-day operations of the office and manage all aspects of assigned projects

·        Miscellaneous on-going front-office administrative tasks such as monitoring incoming phone calls and mail, file maintenance, assisting with correspondence and mailings, greeting guests, and problem-solving

·        Manage all logistical coordination of organizational events

·        Maintain and organize official records and documents

·        Assist in preparing reports, minutes, and materials for staff, Board, and Committee meetings

·        Maintain office calendar, internet, phone/voicemail systems and provide basic IT support.

·        Provide support in fundraising, event planning, and donor/sponsor outreach

·        Maintain supplies and materials; manage vendor relationships

·        Database administration

·        Support the ongoing development of policies, procedures, systems, and organizational infrastructure

·        Other projects as needed or requested 

2)     Bookkeeping & Financial Support

·        Accounts Payable – managing outgoing checks and payments

·        Accounts Receivable – handling incoming donations and bank deposits

·        Prepare information for and coordinate with external accountants and bookkeeper to facilitate monthly reconciliations, tax payments, and audit

·        Support the development of budgets

·        Perform internal monthly reconciliations, tracking, and reporting

·        Donor management, collection, and retention

·        Maintain detailed financial record keeping

Compensation

·        Salary starts at $35,000 depending on relevant experience and education
